Managing your staff profile with Find an Expert

Update your publications, grants and activities

In this section we talk about how to manage the data in the Research, My Research, Professional Activities and Teaching and Supervision tabs of your Find an Expert profile.  

Before updating any content in your Find an Expert profile, you need to read the Content guidelines.

Publications

The content under the Publications tab in your Elements profile is displayed in the My Research Outputs tab in Find An Expert. Updating and managing this content is covered by a separate guide, Managing your research outputs at Deakin.

Grants

Grants are listed under the Grants tab in your Elements profile and are displayed under the My Research tab in Find An Expert.

Click on the plus (+) icons to learn more about grant data and editing.

Grant data feed from Research Master

Research Master is the source-of-truth for Deakin-affiliated grant data, and Elements is updated via a weekly feed from Research Master (data is brought in Monday evenings).

All grants created via this feed will be listed on your Grant Details pages in Elements as being from the Institutional Grants System. This will generally be Deakin-led grants/funding that falls within HERDC Categories 1 to 4. You cannot edit or delete any grants created from this feed.

Any grants not listed in your profile from this feed (including any non-Deakin-led grants) can be manually added via Elements.
 

Alert

Avoid creating manual grant entries in lieu of correcting errors in data that has been automatically populated in your profile. Any errors identified should be logged with the help desk for correction at the source. See Address incorrect information on the Further support page.

 

Add a grant

To manually add a grant to your profile follow these steps:

  1. Click on Manage grants under the Grants tab in your Elements profile.


     
  2. From the My Claimed Grants page you can add, edit or remove the grants displayed on your profile. To add a grant click the + button in the top right.
  3. Select the appropriate grant type from the options available.


     
  4. Enter the details of the grant (these will vary depending on grant type) and click Save.
     

Alert

You should avoid making manual entries or publicising grants that have not yet been contractually finalised. All manual entries should be accurate and comply with the relevant Code of Conduct.

 

Delete a grant

Remember that you cannot remove any grants added to your profile from Research Master. You can, however, remove any grants that you have added yourself by following these steps:

  1. Click on Manage grants under the Grants tab in your Elements profile.


     
  2. Locate the grant you would like to remove.
  3. Click the More button (3 dots) to the right of the activity, then select Reject.


     
  4. When prompted “Are you sure you wish to delete this relationship?” click OK. This will remove your name from the grant and no longer appear on Find an Expert.

   

Professional activities

You can update and manage your professional activities in the Professional activities tab in Elements. These will display in the Professional activities tab in Find an Expert.

Click on the plus (+) icons to learn how to add and delete a professional activity from your profile.

Add a professional activity

To add a professional activity to your profile follow these steps:

  1. Click on Manage professional activities under the Professional activities tab in your Elements profile.


     
  2. From the My professional activities page you can add, edit or remove the activities displayed on your profile. To add a professional activity click the + button in the top right.
  3. Select the activity type from the list of options.


     
  4. Enter in the required details for the activity and click Save.

 

Delete a professional activity

To remove a professional activity from your profile follow these steps:

  1. Click on Manage professional activities under the Professional activities tab in your Elements profile.


     
  2. Locate the activity you would like to remove.
  3. Click the More button (3 dots) to the right of the activity, then select Remove relationship.


     
  4. When prompted “Are you sure you wish to delete this relationship?” click OK. This will remove your name from the activity. Elements will then automatically delete any activity that does not have an associated name.

 

Teaching activities

Your supervisions and other teaching activities are displayed in the Supervision and Teaching tab in Find an Expert.

Click on the plus (+) icons to learn about the types of teaching activities, and how you can add and delete them from your profile.

Teaching activity feed from Research Master

The following type of teaching activities are sourced from Research Master via a weekly feed (data is brought in over the weekend). These will display in both your Elements and Find an Expert profile, but you cannot add, remove or edit them yourself:

  • Current Doctoral Supervision
  • Current Masters Supervision
  • Completed Doctoral Supervision
  • Completed Masters Supervision

You can update and manage other teaching activities in the Teaching activities tab in Elements.

 

Add a teaching activity

To add teaching activities to your profile follow these steps:

  1. Click on Manage teaching activities under the Teaching activities tab in your Elements profile.


     
  2. From the My teaching activities page you can add, edit or remove the activities displayed on your profile. To add a teaching activity click the + button in the top right.
  3. Select the activity type from the list of options.


     
  4. Enter in the required details for the activity and click Save.

 

Delete a teaching activity

Remember that you cannot remove Masters and Doctoral supervisions from your profile because they have been added from Research Master. You can, however, remove any other type of teaching activities that you have added yourself by following these steps:

  1. Click on Manage teaching activities under the Teaching activities tab in your Elements profile.


     
  2. Locate the activity you would like to remove.
  3. Click the More button (3 dots) to the right of the activity, then select Remove relationship.


     
  4. When prompted “Are you sure you wish to delete this relationship?” click OK. This will remove your name from the activity. Elements will then automatically delete any activity that does not have an associated name.

 


Hiding and displaying items

You can choose whether to hide or display a research output, grant, teaching activity, or professional activity in your Find an Expert profile by modifying the Privacy level of your relationship to that item. To do this, refer to the steps on the Profile visibility settings page.


Promoting an item

You can bring focus to a specific publication, grant or activity by using the Favorite function. This will move it to the top of the list on its respective Find an Expert page. Follow the below steps to apply the Favourite function:

  1. Navigate to the Publications, Grants, Professional activities, or Teaching activities tab and select the Manage option on the right.


     
  2. Locate the item you would like to promote.
  3. In the heading bar for the activity, click on the Favourite button (heart icon).
